FOR GUESTS - BEFORE COMING TO INTERVIEW

  1. What is the interview format and how long will it be?

    Our interviews are relaxed, conversational, and story-driven. We start with a short introduction - where we first introduce you to the listeners, dive into key themes or your area of expertise (on the topic you have shared with us), and wrap up with actionable insights for listeners.


    • Duration: 30–40 minutes.

    • Format: Audio/Video

    • Pre- Interview: We don’t conduct pre-interviews, as we believe in keeping our podcast conversations natural and authentic. The discussion flows around the topic you select when booking your slot on our calendar.


  2. What can I expect during the interview?

    Expect a warm, friendly & natural conversation. We’ll guide you through every step so you feel at ease. There’s no need for rehearsed answers just be authentic and share your story or expertise openly.


  3. How should I prepare for the interview?


    • We’ll keep it more natural discussions based on the topic you shared, when you book on our calendar.

    • Feel free to prepare any talking points or examples you’d like to share (based on the topic you share with us while booking).

    • Test your mic/headphones and find a quiet space with a good internet connection. Make sure your system is proper set up with Zoom/Zoho for your mic/headphones before appearing, so as to save time during the interview.

    • Most importantly: relax and enjoy the conversation!


  4. Will I know the topics in advance?

    Yes! When you book your interview through our calendar, you’ll have option to share the topics you wanted to talk about and topics we’ll cover. This allows you to feel comfortable and ready.


  5. Where will my episode be promoted and published?

    Your episode will be shared on Spotify, Apple Podcasts, YouTube, LinkedIn, Instagram, FB and other major podcast platforms. We’ll also promote it on our social media channels and tag you for maximum exposure. Expect you also to share from your end.


  6. Will I get materials to share the episode?

    Absolutely! Once your episode goes live, we’ll send you:


    • You will receive reminder email with proper step to copy or download your episode.

    • Short clips will be on Instagram & Youtube - Follow us prior so as to get the notifications immediately.


  7. Do I need to sign anything?

    Yes, we ask all guests to sign a simple release form before the interview. This allows us to edit and share the episode across platforms. We don't release any episodes where we don't have release consent from guests. This is to avoid any last minute troubles, our time and editor's efforts.


  8. I did not find the joining link.

    It’s highly unlikely that you won’t receive the joining link. When you book through our calendar, the Zoom/Zoho link is automatically sent to the email you used while booking.

    Here’s how it works:

    • Immediately after booking: You’ll receive a confirmation email with the joining link.

    • 2 days before the interview: You’ll get a reminder email with the link, date, and time.

    • 1 hour before the interview: Another reminder with the joining link will be sent.

    • 30 minutes before the interview: You’ll receive one final reminder with the link.


    So, in most cases, it’s not possible to miss it. If you still don’t see the link, the issue could be one of the following:


    1. Spam/Junk folder – Sometimes emails land there if our domain isn’t whitelisted.

    2. Email filters or blocks – Your internal tech team may have restricted auto-emails.

    3. Accidental deletion – The email might have been deleted by mistake.


    👉 If this happens, please reach out to us via Podmatch messages for that podcast show right away. We’ll resend the link directly and get you set up.

    ⚠️ Please note: If you don’t contact us and instead cancel the episode via Podmatch, it may affect scheduling. Always contact us first so we can resolve it quickly.


  9. My PR team/representative booked for me, but the PodMatch steps were not completed, and I don’t know what to do.

    If your PR team or representative booked your interview but didn’t complete the required steps on PodMatch, don’t worry it happens. However, it’s very important that these steps are completed, because PodMatch tracks all bookings and ensures smooth scheduling, reminders, and final episode uploads.


    ⚠️ Gentle Reminder: If these steps aren’t completed, PodMatch may flag the booking as incomplete or even cancel it automatically. Please make sure either you or your PR team completes them promptly.


    Here’s what needs to be done: ✅ PodMatch Steps (Easy Guide):


    STEP 1: Click the MATCH button to start the process.
    STEP 2: Sign & submit the Episode Release Consent Form.
    STEP 3: Click the SCHEDULE button and select the date/time you already booked through our calendar link.


    After our interview recording:


    STEP 4: Once we finish, click MARK COMPLETE this unlocks the option for me to upload your episode link on my side.

FOR GUESTS - DURING INTERVIEW

  1. I see different shows with different themes, how do I know which one I’m on?

    Each of our shows has its own unique theme, but don’t worry, here are the shows. The show you’re scheduled for is always listed in your booking confirmation email. At the start of the interview, the host will also introduce you, your topic, and the specific show to make sure it’s clear.


  2. Zoom started recording automatically when I joined, is this a scam, phishing, or image capture?

    No, not at all. This is a standard Zoom feature we’ve enabled for smooth recording. The meeting automatically starts recording to avoid any missed introductions. Only the audio/video of our conversation is recorded, no hidden data or images are captured beyond the podcast. Both you and the host will be notified on-screen when recording is active.


  3. Are you a real human or an AI bot host?

    We are 100% human hosts 😊. Our network is about authentic, human conversations. While we use technology to streamline scheduling and reminders, your host is a real person who will be live with you on Zoom for the recording.


  4. I waited for 5 minutes and the host wasn’t there, so I left. What should I do?

    Sometimes, due to back-to-back recordings, a host may be a few minutes late. Please wait at least 10 minutes before leaving the Zoom room. If you still don’t see the host, message us directly on PodMatch or reply to your confirmation email, and we’ll reschedule or reconnect quickly.


  5. The host joined late, will my episode still happen?

    Sometimes, due to back-to-back recordings, a host may be a few minutes late. Please wait at least 10 minutes before leaving the Zoom room. If you still don’t see the host, message us directly on PodMatch or reply to your confirmation email, and we’ll reschedule or reconnect quickly.


  6. Do I need to prepare or bring anything special?

    No special setup is required beyond what you already have. We recommend:

    • A quiet space with minimal background noise

    • A stable internet connection

    • Headphones if possible (for clearer sound)

    • Your authentic self that’s most important!


  7. What if my internet disconnects during the interview?

    If your connection drops, simply rejoin using the same Zoom link. Our recording system will continue, and we’ll edit out any interruptions so the final episode sounds smooth.


  8. Will I get a copy of the recording?

    Yes! Once the episode is published, we’ll share the live episode link with you so you can listen, share, and promote.


  9. Can I ask for edits if I don’t like how I said something?

    We keep our conversations natural and authentic, but if something sensitive comes up, please let the host know right away during the interview. We’ll do our best to accommodate edits while keeping the flow of the conversation intact.


  10. How long will the interview last?

    Typically around 25–30 minutes, but sometimes it can run slightly shorter or longer depending on the flow of the conversation.


  11. Do I have to turn my camera on?

    No it’s completely up to you. While many guests prefer to have their camera on for a more natural conversation, we primarily record for audio. If you’re more comfortable keeping your camera off, that’s perfectly fine.


  12. How do I know the session has officially started?

    You’ll see a Zoom/Zoho notification saying “Recording in progress” that’s your signal the session has begun. The host will also welcome you, do a quick sound check, and then officially start the conversation.


  13. Can I promote my book/product/service during the episode?

    Yes! We encourage you to share what you’re passionate about. The host will guide you so it feels natural and fits smoothly into the conversation. At the end of the interview, you’ll also have a chance to mention your website, book, service, or social links.


  14. What happens if I’m late to join?

    If you’re running late, don’t stress just use the same Zoom/Zoho link to join whenever you can. As long as you join within 10–15 minutes of the scheduled time, we can usually proceed without issue. If you’re delayed longer than that, please message us on PodMatch so we can decide whether to reschedule.


  15. Do I need to introduce myself, or will the host do it?

    The host will introduce you at the beginning of the episode, including your name and a brief bio. You’re welcome to add a personal introduction if you’d like, but it’s not required.


  16. What if background noise happens (kids, dogs, etc.)?

    Life happens! If there’s unexpected noise, don’t worry, we’ll pause briefly and continue. Most minor noises can be edited out in post-production. If possible, choose a quiet spot and mute yourself when not speaking, but no pressure, we’ll handle it together.


EPISODE RELEASE

  1. How soon will my episode go live after recording?

    Episodes are usually released within 7–10 days, and no later than 20. You can now search for your episode at the link below using the steps provided.

    2. Click on the podcast shows you appeared on. A new window will open for that particular podcast.

    3. On that new window, In the top search bar, type your name.

    4. Locate your episode, copy the link, and feel free to share it.


    In some cases, due to high release volumes and social media scheduling limits, an episode may be released slightly later up to 45 days maximum. If this applies to your episode, rest assured it has already been scheduled and you will receive the official email with links as soon as it goes live.

  2. Why do some episodes take longer to release?

    In some cases, due to high release volumes and social media scheduling limits, an episode may be released slightly later up to 45 days maximum.   3. Will I be notified when my episode is live?

    Yes, absolutely! You’ll receive an email/Message on Podmatch with the live episode link, so you can easily share it with your audience. Follow us on Instagram to stay updated and get notified immediately @healthyminds.pod


  4. Can I request a specific release date?

    We’ll do our best to accommodate special requests especially if tied to a book launch, event, or campaign. Just let us know during your guest onboarding process, and we’ll align if our calendar allows.


  5. How can I check the status of my episode?

    You can message us directly on Podmatch or email us via our Contact Page. We're here to support you every step of the way. Additionally, you can check the status on our website under the 'Episode Status' section.
